

NONCOMFORMITY POLICY
AIM Design & Development has established a robust procedure for identifying, documenting, and addressing non-conformities in a project's outputs. This is essential for maintaining high-quality standards and ensuring the project's success. Here is an outline AIM’s policy:
Identification of Non-Conformities
- Regular Inspections: Conduct regular inspections and tests at various stages of the project lifecycle to identify potential non-conformities.
- Stakeholder Reports: Stakeholders, including workers, supervisors, and clients, will be encouraged to report any observed non-conformities.
- Audit Sessions: Periodic audit sessions of the processes and outputs will be performed to identify any deviations from the quality standards.
Documentation of Non-Conformities
- Non-Conformity Report (NCR): Once a non-conformity is identified, it will be documented in an NCR, including details such as the date of identification, a description of the non-conformity, the project stage, and any other relevant information.
- Database Entry: The NCR details will be entered into a centralized quality management system to ensure easy access and tracking.
Investigation of Root Cause
- Team: A team with representatives from relevant sections (e.g., quality, construction, design) will be assembled to investigate the root cause.
- Analysis Tools: Team will utilize root cause analysis tools such as the Five Whys, Fishbone Diagrams, or Pareto Charts to identify why the non-conformity occurred.
- Investigation Report: Findings of the investigation, including the root cause(s) and any contributing factors will be documented.
Implementation of Corrective Actions
- Action Plan Development: Based on the investigation, an action plan that addresses the root cause(s) to prevent recurrence will be developed. This plan will detail the corrective actions, responsible individuals, and timelines.
- Approval and Implementation: The corrective action plan will require approval from the from AIM prior to implementation. Once approved, the plan will be communicated to all involved parties and implement the corrective actions.
- Training: If the corrective actions require changes in standard operating procedures or methodologies, necessary training will be provided to the relevant staff.
Monitoring Effectiveness of Corrective Actions
- Follow-Up Inspections and Tests: After implementing corrective actions, follow-up inspections and tests will be conducted to ensure the non-conformity has been effectively addressed.
- Effectiveness Review: A review meeting will be scheduled to evaluate the effectiveness of the corrective actions. If the non-conformity has recurred or if there have been any improvements in the process it will be addressed.
- Document the Outcome: The NCR will be updated with information about the corrective actions taken and their effectiveness. If the actions are effective, the NCR will be closed. If not, the process will be repeated with a revised action plan.
Continuous Improvement
- Update Policies and Procedures: As necessary, quality management policies and procedures will be updated to incorporate the learnings from handling non-conformities.
